Digital Collaboration and Its Benefits

07.09.2021 - 13:52

Internet has always transformed our lives. Initially facilitating two-way communication, the Internet has now turned into a place where we meet a wide range of needs, socialise and work even though it still has the same technological structure. Indeed, in recent years, the Internet has become the center of our lives as a result of unavoidable situations such as the global pandemic, making us dependent on it. Occupying such a huge place in our daily lives, this technological development has also started to be a key part of our business lives. Therefore, this article's topic is digital (virtual) collaboration made possible by the Internet.

For a student group, a small enterprise, holiday plans or a multinational company... The scenario may change but the purpose of collaboration stays the same: "collaboration" by different people and organizations to complete a task. Until a few years ago, the world "collaborated" face-to-face; however, an extraordinary situation such as the pandemic necessitated us to continue this process remotely and online in almost any industry. As a result of this necessity, digital collaboration rapidly became prevalent with the help of collaborative software. Caused by the pandemic, digital collaboration has been a real transformation.

Benefits of Digital Collaboration

Files are Centralised, Systematic and Rich

We may say that the most easily managed part of digital collaboration is files. All files become accessible by any authorised person and constantly up-to-date by way of cloud storage solutions. Multiple versions eliminate any confusion, helping anyone to have access at anytime, anywhere. You do not need to search for the most up-to-date and correct version in your inbox. Moreover, a digital environment enables you to use rich file formats (visuals, videos, tables, presentations, etc.), thus creating a more effective and efficient workspace.

Integrated Team

Physical conditions require companies to divide and organise themselves into groups such as management-department-team, etc.; however, no such clear divisions are necessary in a digital environment. Thus, people from various organisations can meet under the same roof (in a digital environment) and collaborate easily. It can be quite difficult for everyone to be in the same place for face-to-face meetings, which also makes it more likely to have setbacks. However, things are easier than ever online. Surely, setbacks can also occur in a digital environment; however, this possibility can be minimised by procuring the service from reliable companies. Personnel can exchange with the team and complete their tasks in environments where they are comfortable, efficient or obliged to be present. All these factors create an integrated structure.

Savings

Earlier, the benefits of digital collaboration were not clear, even though it was foreseen to be more economical; however, the pandemic manifested those benefits clearly. Initially, people considered the reduction in a variety of expenditure, such as paper, food, transportation, office, etc., as a net benefit but, later, those were understood as relative benefits since they were transferred to the personnel. Still, economically, it is more advantageous to invest in online meeting and collaboration tools instead of overheads of an office.

Easy Tracking, Control and Access

The best feature of the digital environment may be that it makes things easier. The system tracks and displays the tasks of different people in collaboration as well as the progress of their work. Labor becomes unnecessary for these processes, which creates the right conditions to use it efficiently.

Information Can Be Stored and Shared

One of the most functional features of digital collaboration is that it can be stored as knowledge after everything is over and reused by the same or different people when needed. A wide range of information (e.g. all types of files, communications, discussions, tasks, etc.) can be accessed and shared. As such, the need for acquiring information from the senior personnel decreases, and the work in-house is completed more rapidly.

Conclusion - Final Outlook of Companies

Technological developments have produced innumerable tools to be used in any area of life. Until recently, those tools were used based on personal preferences; however, technological integration has become a necessity after the pandemic. Currently, we are obliged to work independently from a certain place, and in a well-planned digital collaboration environment, tasks can be completed more efficiently, economically, effectively, easily and rapidly in comparison to face-to-face processes. Data from research of FlexJobs makes it clear that tech companies are more prone to remote work and online collaboration by showing these companies' approach to work from home.

With the onset of the pandemic, many companies had to start applying remote and hybrid work models. Lines of business which do not require the personnel to be physically present in an office/plant adapted to this situation much more easily. When we look at the following table, we see that companies embracing and producing technology offer their personnel the opportunity to entirely benefit from remote work. Many companies left that decision to their personnel, maintaining that they could work in whatever manner that would be more efficient in their opinion. World's leading companies (many of which are tech companies) adopted remote and hybrid work models in 2020 and 2021. The future of those models will depend on the success of this process. A notable point is that none of the companies shown made it obligatory to fully work from office.
